The management of projects typically involving information systems while adhering to agreed upon constraints. Requirements include: Taking responsibility for and participating in all aspects of one or more small projects, Effectively estimating and monitoring project factors such as cost to be within an agreed scope, ensuring realistic plans are in place and tracked against, Providing effective team leadership. To provide communication support functions for AD &P IT. To drive and facilitate AD &P IT strategic change communication efforts to optimize the organization effectiveness as a high performing team enabling business success. To coordinate Leadership team teleconference logistics, to ensure efficiency and productivity of meetings. To own the use and maintenance of the data stored in approved business tools used by the team (eg website, Livelink, Groove). To understand and support the team’s information management needs to enable effective team performance. Whilst complying with the relevant standards (eg Security, HSE) To own the end-to-end process for Leadership team face-to-face or virtual engagements (eg . planning sub-team activities, invitations, facilitation, feedback collation). To own the end-to-end process for staff engagements (eg. invitations, facilitation, feedback collation). To develop, implement and own the communication plans to ensure alignment with business direction and objectives, including regular newsletter to business stakeholders. Ensure full alignment with local, regional and global change and communications activities. To ensure a consistent approach to change communications by working in alignment with the C&I Analyst network (a network of individuals within Downstream IT). Location: Hours: Education: Company Benefits Information: Perform C&I tasks such as preparation of materials, logistics, groundwork, C&I research to support C&I/S&P Manager Works with C&I (change and integration)/ S&P Manager and Global Change Manager to coordinate data and generate output related to broader change management efforts. Documents all work using the required standards, methods and tools Be an ‘idea generator’; support C&I/S&P manager in brainstorm exercises to resolve challenges across the board in creative, efficient and simple ways. Provide input and support in maintenance of C&I toolkit. Actively participate in the Downstream IT C&I network Arrange logistics for all AD &P IT Leadership Team face to face meetings as well as support the design teams in preparation for these meetings. Support C&I/ S&P manager in the development of post-face to face meeting communication. Coordinate leadership team teleconferences to ensure efficiency and productivity of meetings. Organize and coordinate LT teleconferences by sending requests for topics, collecting pre-read, providing reminders and supporting activities resulting from these meetings. Maintain action lists and proactively pursue with LT members Proactively provide ideas and solutions to resolve schedule conflicts and challenging agendas Works with C&I/ S&P Manager to coordinate data and generate output related to broader change management efforts. Develop and maintain 'formal' communication to the IT Classes of Business and other stakeholders (e.g. website, newsletters) Develop & deliver communications plans for AD &P IT in line with the overall Downstream IT Communication plan. Develop and maintain an integrated communications & engagement calendar Maintain AD &P IT website and ensure content is regularly reviewed and updated Draft AD &P IT General Manager communications (email, welcome notes for newsletter, presentations, etc) Organize and facilitate staff webcasts/teleconferences Own the end-to-end process for staff engagements; where applicable, facilitate the engagement session. Draft design event agendas and plans (e.g. Safety Days, staff engagements, etc) Arrange all logistics and communications for all staff engagements
DIMENSIONS JG5 Role: * Works independently * Manages situations that arise independently with some guidance * Selectively participates in small change management efforts * Participates in setting delivery function change, engagement and communication strategies * Proactive in development of solutions and watching for potential areas of conflict or problems. This person will have dual reporting to AD&P Global Strategy & Planning Manager (direct and some functional) and AD&P Change & Integration Manager (functional). Support for AD &P IT staff. Global project delivery staff in over 20 countries.
